Challenge

There's no off-the-shelf tool for managing KOLs, so the team ran 150–200 influencers across the US, Europe and Japan entirely in Excel — recruiting, tracking outreach, monitoring performance, chasing contracts. It was slow, error-prone and impossible to scale.

Approach

We adapted HubSpot to fit the influencer workflow — customizing it and wiring it up through APIs. KOL performance (YouTube, TikTok and Instagram views) flows in automatically alongside HubSpot's own data, so everything is visible in one place. HubSpot also handles contracts, renewal reminders and ongoing relationship upkeep.

Outcome

The team could manage far more KOLs at once without errors creeping in — recruitment, performance, contracts and renewals all tracked in one place, with visibility the spreadsheets never gave.
