Process automation
Hand the weekly busywork to a system that does it on its own
Process automation means repetitive office work — reconciling payments, handling orders, building reports, copying data between systems — runs by itself, following rules you agree. For most Hong Kong SMEs it does not mean replacing your systems: we connect the Excel, accounting software, online shop and WhatsApp you already use.
Work SMEs most often automate
Reconciliation
Match bank, FPS and online-shop payments against invoices in your accounting software, and flag only the ones that do not match.
Orders and stock
New online or WhatsApp orders become delivery notes and stock updates, without being typed in twice.
Weekly and monthly reports
Sales, stock or finance reports built from the source data and emailed on schedule, instead of assembled by hand.
Moving data between systems
Forms, POS, spreadsheets and accounting kept in step automatically, so nobody copies and pastes between them.
Invoices and documents
Supplier invoices and receipts read automatically (OCR) and prepared for entry, with a person checking only the exceptions.
Customer enquiries
Common WhatsApp questions answered instantly, and anything else handed to a person with the conversation attached.
Is a process worth automating? Three questions
- 1
Does it happen every week?
Work done once a quarter rarely pays back. Work done every day or week usually does.
- 2
Are the rules clear?
If you can explain it to a new hire step by step, a system can follow it too. If it needs judgement every time, automate the preparation, not the decision.
- 3
Does a mistake cost money?
Wrong payments, missed orders and late reports are where automation earns its keep fastest.
Which tools?
We start with what you already pay for — the built-in automation and APIs of your accounting software, online shop and Microsoft 365 or Google Workspace. Where that is not enough we use tools such as Power Automate, Google Apps Script, Make or Python, and the official WhatsApp Business Platform. We are not tied to any vendor, and you own everything we build.
An automation that stops is worse than none
Everything we build reports when it runs — and alerts you when it did not. You find out the same day, not at month end when the numbers are wrong.
How it works
- 01
Free review
A 20-minute call about the process. You get the top opportunities and a rough time saving.
- 02
Fixed quote
One agreed scope and one price, before any work starts.
- 03
Build and run in parallel
Typically 2–6 weeks. The automation runs alongside the manual way until the results match.
- 04
Hand over and support
Written instructions for your team, failure alerts switched on, and optional monthly support.
What it costs

- HK$20,000 – 60,000

- from HK$50,000

Common questions
- How much does process automation cost for an SME?
- Most single-process automations fall between HK$15,000 and HK$40,000, depending on how many systems are connected. We give one fixed quote after a free review, before any work begins.
- How long does it take?
- Usually two to six weeks for one process, including a period where the automation runs next to the manual method so you can compare results.
- Do we have to change our accounting software or systems?
- Usually not. We connect the systems you already use. If a system has no way to connect, we will say so in the review, before you pay anything.
- Is our data safe?
- Automations run in your own accounts wherever possible, and customer or financial data is not sent to third-party AI services without your explicit approval.
- What happens if something breaks later?
- Every automation alerts you when it fails to run. Fixes are covered by monthly support, or quoted per job if you prefer not to have a plan.
